Sub-Zero Dry Ice (“Sub-Zero Dry Ice,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you interact with us online and offline.
1. Introduction and Who We Are
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you:
- Visit our website
- Use our online store to order dry ice, gel packs, or coolers
- Submit a quote request or contact form
- Use our customer account or Payment Portal
- Receive our services (dry ice delivery, airport cold chain, dry ice blasting, repackaging)
Sub-Zero Dry Ice is headquartered in Miami, Florida, United States, and has served businesses and consumers across Florida, Puerto Rico, and the Dominican Republic for over two decades.
2. Information We Collect
We collect information you provide directly and information collected automatically when you use our website.
2.1 Information You Provide to Us
Contact Forms and Quote Requests: full name; company name and job title (for B2B requests); email address; phone number; service location; nature of inquiry (product type, quantity, intended use, delivery timeframe); and any additional details you include.
Online Store Orders: billing and shipping details; email and phone; order details; and payment information — we do not store full card numbers (see Section 7).
Customer Account Registration: username and password (stored encrypted); order history and saved preferences.
Commercial Account Applications: company name, Tax ID / EIN, billing contact; business type and industry; expected volume and delivery frequency; and business documentation or references when requested.
2.2 Information Collected Automatically
- Device and browser information: IP address, browser type/version, operating system, device type
- Usage data: pages visited, session duration, referring URL, on-site clicks, search queries
- Session identifiers: cookies and similar technologies (see Section 8)
- General location: city/state level derived from IP address (not precise GPS)
2.3 Subzero Driver App (Our Drivers)
Subzero Driver is the app our delivery drivers use on the job. It is not meant for customers. Once a driver signs in with the key the office gives them, the app collects:
- Precise location: during the driver’s shift, including while the app runs in the background, so dispatch can follow the route and give customers accurate arrival times. Tracking stops when the driver signs out or when the working day ends.
- Proof of delivery: the photo the driver takes at drop-off, the name of the person who received the order, and the time and place of the delivery.
- Driver key and device token: the key identifies the driver; the device token lets us send route notices to their phone.
We use this data only to run deliveries. Our dispatch staff see the driver’s location. Proof of delivery may be shared with the customer who received the order. Route notices go out through our app-notification provider. We do not use this data for advertising and we do not sell it. We keep it as described in Section 9.

6. How We Share Your Information
We do not sell your personal information. We share your information only in the limited circumstances described below.
Service Providers: trusted third-party vendors who help us operate — payment processing (PCI-DSS certified processor such as Stripe or PayPal); website hosting / CMS (WordPress / WooCommerce); transactional email platforms; analytics (Google Analytics 4, aggregated); and logistics partners for shipments outside our direct delivery zone. All are contractually required to handle your data securely and only as instructed, and may not use it for their own marketing.
Business Transfers: if Sub-Zero Dry Ice is acquired, merges, or transfers substantially all its assets, customer information may be part of that transaction. We will notify you before your data becomes subject to a different privacy policy.
Legal Requirements: we may disclose information when required by law, to protect the rights, property, or safety of Sub-Zero Dry Ice, our customers, or the public, or to investigate violations of our Terms.

7. Payment Processing
When you purchase through our online store or Payment Portal, payment card information is transmitted directly to and processed by our payment processor(s). Sub-Zero Dry Ice does not receive, store, or transmit full credit or debit card numbers. Payment card data is handled exclusively by our processor(s) in compliance with PCI-DSS requirements.
We retain only non-sensitive transaction data — order amount, last 4 digits of card, transaction ID — for accounting and dispute resolution. For commercial accounts on Net terms, billing records are maintained for the duration of the business relationship plus the period required by US tax law (generally 7 years).
8. Cookies and Tracking Technologies

You may control cookies through your browser settings; disabling cookies may affect functionality. We do not currently respond to “Do Not Track” signals, as there is no universally accepted standard.
